The following Term of Service comprise two parts: the Privacy Policy and the IT Policy of AEGEE-Europe

Privacy Policy

Again keep in mind that also the Data Privacy Commission and the organs or organisations they may address are all composed of volunteers.

Please raise a request through the AEGEE Helpdesk, under the category GDPR. DPC will assist you there. We will reply within the first 72 hours and assist you from there as specified in the procedures.

Notes and exceptions

1) Exception to anonymisation period of the data

An exception to data which is not anonymised a year after you revoke your consent is for statutory events participation list (not application) or any other type of data which is submitted to the EACEA/other EU institutions for operating grants purposes. Such data is kept for a maximum of seven years.

We will not delete your Personal Information if it is relevant to an investigation or a dispute. It will continue to be stored until those issues are fully resolved.

This Notice will be changed from time to time. If we change anything important about this Notice (the information we collect, how we use it or why) we will provide a prominent link to it for a reasonable length of time following the change.

4) Final note: We are also learning the tools

We are also still learning how to use G Suite and the Helpdesk: as a result please apply more patience. The helpdesk team will appreciate! Also consider joining the team to help have faster problem resolution for the whole AEGEE.

IT Policy

A) AEGEE-Europe provides the following services to its beneficiaries:

  1. A Gsuite account: upon approval into MyAEGEE (the internal area of the organisation), a member of an AEGEE local receives a G Suite account in order to keep up-to-date with internal communication. A G Suite account (Terms of Service) entitles to the following google products:

    1. Email

    2. Office suite

      1. Forms

      2. Spreadsheets

      3. Documents

    3. Meet

    4. Groups

    5. Calendar

    6. Drive

  2. A Wiki

  3. A Forum

  4. A password manager (according to the involvement in EB)

  5. A Helpdesk service

Each of these element could be revoked, singularly or all together, when:

  • the membership expires

  • in case of violation of AEGEE values and regulations

  • by marking emails from AEGEE mail system as spam

  • by violating the Terms of Service of the third-party provider(s)

WHILE THE PROCEDURE IS CARRIED MANUALLY, beneficiaries have to click “yes” to:

I understand and agree that the Gsuite account is owned by AEGEE-Europe and my access can be suspended when my membership expires or in case of violation of AEGEE values and regulations

If it happened that beneficiaries got an account before that field was present, it's still the same: the account is AEGEE’s, not of the beneficiary.

B) By joining the website, the user accepts the following terms:

  1. To share the personal information described in the Privacy Policy in full and correct;

  2. To join the following communication channels, without the possibility to unsubscribe, in order to get announcements about e.g. open calls for positions within the network or to events
